NEW TELEPHONE SYSTEM UPDATE

JULY 2003

GENERAL

     Dialing 800 Numbers – You may now dial 800 numbers either by 9 + 1 + 800 OR 9 + 800.

Long Distance Call Completion – To speed up the connection time when making long distance calls with your authorization code, press # immediately after dialing the number.

Free Dial-In Modem Pool (453-2888) – When dialing into this number from a campus telephone (prefixes of 453 or 536), it will NOW be necessary to dial a 9 first.  This only applies to the 453-2888 number.  The 9 is not necessary when calling other 453 numbers from campus telephones.  However, when dialing the 453-2888 number from non-campus telephones (your home), the 9 will NOT be necessary.

Caller ID – If your caller ID indicates "no caller" or "unknown caller" or displays the calling number as 453-2121, the calling number has not been delivered through the long distance network to our Telecommunications switch.  This could be the result of several factors:

 ●    The calling party has blocked their caller ID.

●    The originating telephone office does not have calling number identification capability.

 ●    The caller ID was dropped or lost switching between carriers from the originating point and the terminating point of the call.

 VOICE MAIL USERS

Basic Voice Mailbox Information – Information to help you better manage your voice mailbox:

 ●    Number of Days Before Messages Erased - 7 Days

 ●    Maximum Composed Message Length  – 5 Minutes

 ●    Maximum Length of Total Messages – 10 Minutes (This could be two five-minute messages; ten one-minutes messages, etc.  However, any one caller cannot leave a single message more than five minutes in length.)

Bypass Dialing Mail Box Number When Checking Messages – When you are calling to check your voice mail messages from a campus telephone that is voice mail equipped, you can bypass dialing your mailbox number by pressing #.  You then will hear a prompt to enter your password.  This will not work from a telephone that is not voice mail equipped or from a cell phone.

Making Additional Calls After Leaving a Voice Message – When you are calling a campus telephone number from off-campus and leave a voice mail message and then want to call another campus telephone number without disconnecting and redialing, press 0 + extension (started within three seconds of pressing 0) + #.

Customer Operator – You can offer your callers the option of leaving a message or speaking to one of your assistants or colleagues.  This assistant or colleague is referred to as a customer operator.  To assign a customer operator, follow these steps while logged into your mailbox.  Press 80 for mailbox options, then press 1 to review the customer operator number.  A prompt will tell you the current custom operator number.  Enter the new customer operator number (7 digits).  Then, in your voice mail greeting, instruct callers to press 0 (zero) if they wish to speak to this person in your absence.  (With SIUC's former voice mail system, callers were asked to press 03.)

Adding Message Options – When you create a message you can indicate that you want it handled in a special way.  The message options are Urgent, Economy, Private, Acknowledgement, and Timed Delivery.  A message cannot be tagged both Urgent and Economy.  After composing your message, press # to end your recording and then select one of the message options.

●    Urgent – When you send a message marked Urgent, the recipient is notified in the mailbox summary and the message header that the message is urgent.  Before or after recording a message, press 70 then 1 to add the Urgent option.  Then, either hang up or press 79.

●    Economy, Private, Acknowledgement, Time Delivery – Instructions for these options can be found on our web page at www.infotech.siu.edu/telecom/.  First, click on the "Admin" button, then "Voice Mail," and finally, "Detailed Voice Mail Instructions."

Often Used Voice Mail Commands Sheet – Please feel free to print the Voice Mail Sheet below that we have created for our internal use or modify it for your own personal use.
